Administrative Manager
POSITION: ADMINISTRATIVE MANAGER
RESPONSIBILITIES
Office Management & Operations:
- Fixing office equipment and finding repairs.
- Solving phone and internet issues.
- Making and updating various forms.
- Crisis Management and Response Planning:
- This may involve coordinating with clinical staff to address immediate client needs or unexpected situations.
- Resource Allocation for Client Care: Ensuring that appointments and staff scheduling are allocated effectively to meet client needs, including managing schedules to optimize client access to services.
Human Resources & Employee Management:
- Credentialing providers and offices (licensing and continuing education)
- Updating job descriptions, posting jobs, Screening & Arrangement for interviews.
- Notifying staff of new or updated information.
- Assisting staff with requests and solving issues.
- Organizing staff training and orientation.
Policy Development & Compliance:
- Preparing for audits.
- Ensuring requirements are met through contracts.
- Updating ACTS forms and procedures as per policy changes.
- Client Confidentiality and Privacy Management: Ensuring all operations adhere to HIPAA and other relevant privacy laws to protect client information.
Technical & Systems Management:
- Coordinating with Netsmart for clinical staff training and system updates.
- Attending provider meetings.
Financial & Resource Management:
- Managing data reporting for Pierce County and HCA.
- Handling grant applications in collaboration with the executive director.
Strategic Planning & Coordination:
- Organizing meetings and training.
- Updating billing codes and prices in the Netsmart system.
- Addressing systematic billing issues.
- Understanding and addressing the specific needs of different client groups for effective program management.
Communication & External Relations:
- Engaging with the community for behavioral health awareness, building partnerships, and identifying collaboration or funding opportunities.
